Privacy Policy

We know that you care how information about you is used and shared, and we appreciate your trust that we will handle it carefully. This policy explains what personal data we collect, why we process it, how long we keep it and what rights you have. It applies to the website and to every order, enquiry and message you send us.

1. Who is the controller

The controller of your personal data is Extra VEH sp. z o.o., registered at ul. Robotnicza 92/94, 53-608 Wrocław, Poland, VAT ID (NIP) 8971915108. You can contact us about any data protection matter by e-mail at office@quadromoto.store or by phone +48 780 608 046.
We process personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR) and with Polish data protection law.

2. What data we collect

  • Identification and contact data — first and last name, e-mail address, postal and delivery address, telephone number.
  • Order data — the products you bought or enquired about, order numbers, order value, delivery method and correspondence about the order.
  • Billing data — company name, VAT ID and registered address where an invoice is issued. Card numbers are entered on the payment provider's page and are never stored by us.
  • Account data — login, password hash, saved addresses, wish list and purchase history, if you create an account.
  • Technical data — IP address, browser and device type, pages visited, referring site and cookie identifiers.
  • Recruitment data — the information you include in a CV or application form, if you apply for a job with us.
Providing data is voluntary, but without contact and delivery details we cannot accept and fulfil an order.

3. Why and on what legal basis we process data

  • To conclude and perform a sales contract — accepting the order, processing payment, arranging delivery, handling complaints and returns. Legal basis: Article 6(1)(b) GDPR.
  • To comply with legal obligations — issuing and storing invoices and accounting records, statutory liability for lack of conformity. Legal basis: Article 6(1)(c) GDPR.
  • To answer enquiries sent through the contact form, by e-mail or by phone. Legal basis: Article 6(1)(f) GDPR — our legitimate interest in responding to you.
  • To send marketing messages and a newsletter, and to run competitions and promotions. Legal basis: Article 6(1)(a) GDPR — your consent, which you may withdraw at any time.
  • To publish reviews and answers in the question-and-answer section. Legal basis: Article 6(1)(a) GDPR.
  • To operate, secure and improve the website, including analytics and fraud prevention. Legal basis: Article 6(1)(f) GDPR.
  • To establish, exercise or defend legal claims. Legal basis: Article 6(1)(f) GDPR.
  • To consider a job application. Legal basis: Article 6(1)(a) and Article 6(1)(b) GDPR.

4. How long we keep your data

  • order and contract data — for the duration of the contract and then for the period of limitation of claims;
  • invoices and accounting documents — 5 years from the end of the tax year in which the tax became due, as required by Polish tax and accounting law;
  • account data — until you delete the account or ask us to delete it;
  • data processed on the basis of consent — until consent is withdrawn;
  • data in enquiries and correspondence — up to 3 years from the last contact;
  • recruitment data — up to 12 months from the end of the recruitment process.

5. Who receives your data

We share personal data only to the extent necessary and on the basis of written data processing agreements. Recipients may include:
  • courier and freight companies delivering your order;
  • payment providers and the acquiring bank;
  • the hosting provider and IT service providers maintaining the website;
  • accounting and legal advisers;
  • providers of analytics and marketing tools;
  • public authorities, where we are required by law to disclose data.
We do not sell personal data. Where a service provider processes data outside the European Economic Area, the transfer takes place on the basis of an adequacy decision of the European Commission or standard contractual clauses.

6. Cookies and analytics

The website uses cookies — small text files stored on your device. Necessary cookies keep the cart and your session working and cannot be switched off. Analytical and marketing cookies are used only with your consent and help us understand how the site is used and measure the effectiveness of our advertising. You can manage or delete cookies in your browser settings at any time; disabling necessary cookies may prevent parts of the site from working.

7. Your rights

Under the GDPR you have the right to:
  • access your personal data and obtain a copy of it (Article 15);
  • rectify inaccurate or incomplete data (Article 16);
  • erase your data, the «right to be forgotten» (Article 17);
  • restrict processing (Article 18);
  • data portability — receive your data in a structured, machine-readable format (Article 20);
  • object to processing based on our legitimate interest, including profiling (Article 21);
  • withdraw consent at any time, without affecting the lawfulness of processing carried out before the withdrawal (Article 7(3)).
To exercise any of these rights, write to office@quadromoto.store or to our registered address. We respond without undue delay and in any event within one month of receiving the request; where a request is complex, that period may be extended by a further two months, and we will inform you of the extension and its reasons.
You also have the right to lodge a complaint with the supervisory authority — in Poland this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warszawa.

8. Automated decision-making

We do not take decisions producing legal effects concerning you, or similarly significantly affecting you, based solely on automated processing of your personal data.

9. Security

We apply appropriate technical and organisational measures to protect personal data against unauthorised or accidental access, loss, alteration, disclosure or destruction. Data is transmitted over an encrypted TLS connection, access to systems is restricted to authorised personnel, and our service providers are bound by confidentiality obligations.

10. Changes to this policy

We may update this policy to reflect changes in our services or in the law. The current version is always published on this page, and material changes will be announced on the website. See also our Terms and Conditions.
